Who this is

This site is operated by Caelin Roodt, an independent consultant trading as Caelin Roodt (“I”, “me”). For questions about anything on this page, or about the information held about you, email caelin@caelinroodt.com.

What I collect

• Details you give me when you book a call or email: your name, email address, company, and whatever you choose to tell me about your business
• Records of our correspondence and of work carried out, where we go on to work together
• Basic technical information logged when you visit this site, such as your browser type and the pages you view

I do not collect special category data, and you should not send it to me.

Why I collect it

• To respond to your enquiry and arrange a conversation
• To carry out work you have engaged me for, and to invoice for it
• To meet legal and accounting obligations
• To understand which pages are read before someone gets in touch, where you have accepted cookies

The lawful basis is your consent where you have contacted me, performance of a contract where we are working together, and my legitimate interest in running and improving a consulting practice.

Who else sees it

I use third-party services to run this practice, and your information passes through them:

• HubSpot — booking, CRM and email. HubSpot sets cookies on the booking page.
• Google — email, video calls and document storage
• Xero — invoicing and payment records
• Flare Accounting — bookkeeping and statutory accounts
• xneelo — website hosting and server logs

I do not sell your information, and I do not share it with anyone for their own marketing.

How long I keep it

Enquiries that do not lead to work are deleted within 24 months. Records relating to work carried out are kept for seven years, which is the period accounting rules require.

Where it is held

I work from South Africa, and the services listed above store data in the European Union, the United Kingdom and the United States. Where information moves outside the UK or EEA, it is covered by the standard contractual clauses those providers operate under.

Your rights

You can ask me to show you what I hold about you, correct it, delete it, restrict what I do with it, or send it to you in a portable form. You can withdraw consent at any time. Email me and I will respond within 30 days.

If you are unhappy with how I have handled your information, you can complain to the supervisory authority where you live. In the UK that is the Information Commissioner’s Office at ico.org.uk. In South Africa, where I am based, it is the Information Regulator at inforegulator.org.za.

Cookies

This site uses HubSpot’s analytics to see which pages people read before they get in touch. That sets cookies in your browser, and it only happens if you accept when asked. Decline and the tracking is never loaded, so nothing about your visit is recorded.

There is no advertising, no ad network and no third-party tracking beyond HubSpot. You can change your mind at any time using cookie settings.

The booking page is hosted by HubSpot and sets its own cookies, governed by HubSpot’s privacy policy.

Changes

If this policy changes, the date at the top of this page changes with it.
